How much does vehicle rental software cost?

By Jean-Michel Boni - updated 18 September 2026

Short answer

There are three pricing models. The monthly subscription is the most common among newer SaaS tools: a few dozen euros a month, often in tiers by number of vehicles. A per-transaction commission is sometimes added to the subscription, from 0 to a few percent. The licence on quote, used by established vendors, is not published and comes with a setup cost. At Flotly, the price list is public: €39 excl. VAT/month for 10 vehicles, €99 for 30, €179 for 100, on quote beyond that. Always add the payment provider's fees on top.

Key facts

  • Three models: monthly subscription, per-transaction commission, licence on quote.
  • Payment fees (Stripe and equivalents) are charged separately by the provider, never included in the software subscription.
  • The setup cost (configuration, import, training) is the item most often forgotten in a comparison.
  • Flotly: €39 / €59 / €99 / €179 excl. VAT per month (Starter, Essentiel 15, Pro, Business), Enterprise on quote. French VAT at 20% on top.

The three pricing models, and what they hide

Pricing models for vehicle rental software
ModelHow you payGood forWatch out for
Tiered monthly subscriptionA flat fee based on the number of vehicles or usersBudgeting ahead, starting smallThe next tier: check its price before you reach it, not after
Per-transaction commissionA percentage taken on every booking collectedStarting at low volumeThe cost grows in line with your revenue: recalculate it at your target volume
Licence + setup on quoteAn upfront amount, then annual maintenanceVery specific needs, large fleetsThe gap between the initial quote and the real cost of deployment

The costs nobody puts in the comparison

  • Payment fees. The payment provider (Stripe, for example) applies its own per-transaction commission, on top of everything else. Check its public price list directly.
  • Setup. Fleet import, rate configuration, account creation, training. Count it in hours of your own time, even when the vendor does not charge for it.
  • Historical data migration. Bringing over two years of past bookings is a project in its own right, and often a paid one.
  • The exit cost. Ask before signing: in what format can you export your data if you leave? An impossible export is a certain future cost.
  • Optional modules. Check whether inspections, white label or multi-branch are included or sold separately.

Flotly's price list, in plain terms

The prices below exclude VAT. French VAT at the standard rate of 20% is added at payment; the incl. VAT column applies to a VAT-registered customer in France. A VAT-registered business recovers that VAT, so its real cost is the amount excl. VAT.

Annual billing is equivalent to ten months paid for twelve. The full, up-to-date details are on the Pricing page, which is fed by the same source as billing, so there can be no gap between the price shown and the price charged.

How to work out whether software pays off for you

The honest calculation is not “price per vehicle”. It is: how many hours and how many disputes does the software save you each month?

  1. Count the real admin hours in a typical month (scheduling, reminders, rental agreements, invoices) and value them at your hourly cost.
  2. Add the damage you gave up charging for over twelve months for lack of evidence.
  3. Add the bookings lost for lack of a catalogue that can be booked online, even as a low estimate.
  4. Compare that total with the subscription, plus payment fees, plus your setup time.

If the totals are close, do not switch: the gain will be absorbed by the cost of changing. Wait for the trigger: a lost dispute, a double booking, an unmanageable season.

Frequently asked questions

Is there any free vehicle rental software?

There are trial versions and limited offers, but no genuinely free tool covers payment collection and photo evidence: both functions carry an infrastructure cost for the vendor. Flotly no longer has a permanent no-cost plan, only a 7-day trial, no credit card required.

Are Flotly prices excl. or incl. VAT?

The reference prices exclude VAT: €39, €99 and €179 excl. VAT per month. French VAT at 20% is added at payment, giving €46.80, €118.80 and €214.80 incl. VAT for a VAT-registered customer in France.

Is there a commission on bookings?

Yes, on online payments only, and it depends on the plan: 3% on Starter (capped at €49 per month), 2% on Essentiel 15 (capped at €29), 1% on Pro (capped at €80), 0% on Business and Enterprise. The payment provider's fees come on top, on its own price list.

Do you have to commit for a year?

No. The monthly subscription has no commitment. Annual billing is just an option, equivalent to ten months paid for twelve.
