Comparison of vehicle rental management solutions

By Jean-Michel Boni - updated 18 September 2026

Short answer

There is no universally best software. Flotly focuses on the French vehicle rental workflow and verifiable photo evidence. Fleetee offers a French ecosystem of Manager, Check and Web. HiFleet highlights multiple languages and currencies. HQ Rental Software targets international operations and integrations. RentSyst advertises telematics, OTA channels and long-term rental. Booqable excels at general inventory and equipment. A spreadsheet remains rational for a very small fleet; a marketplace is first a way to acquire customers. Choose based on your business scenario, not the number of features.

Key facts

  • Four families: spreadsheet, established industry software, marketplace, newer SaaS.
  • This comparison gives no competitor prices: these vendors mostly quote on request, and an unsourced price would be an invention.
  • The most decisive sorting criterion: in a damage dispute, does the solution produce dated evidence whose integrity can be verified?
  • Published by the company behind Flotly: the cases where Flotly is not suitable are listed explicitly below.

A note on method

The established vendors mentioned are cited because they exist and rental businesses often bring them up, not because we have tested them feature by feature. We do not publish their prices: they are mostly given on quote. Any price range you read elsewhere without a source should be checked directly with the vendor.

How to compare seriously: the five-point method

  1. Write down your most frequent scenario (an online booking, a pick-up, a return with damage) and ask each vendor to walk through it in a demo. No generic demos.
  2. Ask for the total price at your target volume: subscription plus commissions plus payment fees, over twelve months.
  3. Ask how you leave. What export format, how long it takes, at what cost. The answer tells you more than the demo.
  4. Test the evidence. Ask to be shown how the tool proves that a photo has not been modified. This is where the gaps are widest.
  5. Check the tier limits before signing, not on the day you reach them.

Where Flotly genuinely stands out

One thing, and it is verifiable: the integrity of photo evidence. Every inspection photo receives a proof reference when it is saved, kept with the photo, and an integrity check can be rerun later to show that the file has not changed. Combined with an inspection flow launched from the booking (or, optionally, from the vehicle's QR code), this builds a dispute file with no extra effort.

The rest (bookable catalogue, Stripe payments, multi-branch, permissions, fleet import) exists at several competitors. We do not claim otherwise.

Where Flotly is not the right choice

  • More than 100 vehicles with an ERP or SAP integration. The Business plan is capped at 100 vehicles; beyond that, an established vendor focused on large accounts will often be a better fit than an Enterprise quote.
  • Long-term rental and management of financing contracts. Flotly is designed for operational rental, not for tracking leases (LOA/LLD) and depreciation.
  • You need deployment on your own servers. There is no installable version.
  • You refuse to take payments online. Payments go through Stripe: without a Stripe account, half the value disappears.
  • Your first need is bringing in customers. A marketplace will fill your fleet faster than software. The two combine very well; they do not replace each other.
  • A fleet of fewer than three vehicles with no disputes. A spreadsheet is still enough. Come back when one of the switching signs appears.

The full reasoning is on the page Flotly or Excel: when to switch tools.

Frequently asked questions

What is the best vehicle rental software?

There is no general answer. Under five vehicles, a spreadsheet. From five to a hundred vehicles with direct sales, a newer SaaS tool. Beyond that, or with heavy integration needs, an established industry vendor. For filling the fleet alone, a marketplace.

Why does this comparison not show competitors' prices?

Because most of these vendors do not publish their prices and work on quote. Repeating an unsourced amount would be false information presented as a comparison. Ask each one for a written quote.

Does Flotly have public customer reviews?

Not yet. Flotly is a recent product, and we publish no testimonials or ratings until they come from real customers who have agreed to their publication. No aggregate rating is declared in our structured data.

Can you use Flotly alongside a marketplace?

Yes, and it is the most common setup: the marketplace brings volume, while the software runs the fleet and feeds your own direct booking channel.
