Vehicle inspection apps: the criteria that matter
By Jean-Michel Boni - updated 13 September 2026
Short answer
A good vehicle inspection app should enforce the same zones at pick-up and return, work on an unstable network, date every capture, identify the operator, record the customer's agreement, compare damage and hand over a report immediately. Also ask how the tool proves that an archived photo has not been altered. Fleetee Check, HQ Rental Software, RentSyst, HiFleet and Flotly all advertise a digital workflow, with different scopes. Flotly adds a proof reference for each media file; this proves file integrity, not a certified date from a qualified third party.
Key facts
- A photo gallery is not a structured vehicle inspection.
- Offline mode and recovery after a connection drop are essential in a car park.
- Flotly's on-screen signature is not a qualified electronic signature.
- A proof reference verifies integrity; on its own it does not guarantee identity or a certified date.
The eight-point selection checklist
- Zone-by-zone guidance: the same angles and items at every rental.
- Completeness check: impossible to finish while missing a side of the vehicle or a meter reading.
- Offline mode: local capture and reliable sync once the network is back.
- Metadata: time, operator, vehicle, booking and geolocation where justified.
- Integrity: a demonstrable mechanism against later modification of files.
- Joint review: shown to the customer, objections possible, signature or refusal recorded.
- Comparison: pick-up and return side by side, new damage isolated.
- Financial chain: price list, security deposit, invoice and claim documents linked to the report.
Standalone app or a module of your rental software?
A standalone app can be excellent at capture, but it often forces you to re-enter the booking, customer, vehicle and damage. An integrated module pulls that data in and can carry on to the security deposit and the invoice. Fleetee Check is linked to Fleetee Manager; HQ Rental Software advertises inspections and agreements in its platform; RentSyst includes check-in/check-out; HiFleet links inspections, insurance claims and security deposits.
Flotly links the inspection to the booking, the rental agreement, the damage price list, the optional capture of the security deposit and the invoice. The mobile web flow works offline; the Android staff app is available on Google Play; the iPhone version is in preparation.
The test to run during a demo
- Switch on aeroplane mode halfway through an inspection and take several more photos.
- Close and reopen the screen to check that it resumes without losing anything.
- Add a scratch at return and check the comparison with pick-up.
- Download the report and ask how to verify a photo's integrity six months later.
- Have the customer refuse to sign and see what the file keeps.
Frequently asked questions
Does an inspection app automatically give photos legal weight?
No. The strength of a file depends on both parties being involved, completeness, identification, date and integrity. No app logo replaces these elements, nor a judge's assessment.
Do you need a native app to carry out a vehicle inspection?
No. A progressive web app can use the camera and work offline. A native app sometimes makes distribution and certain integrations easier, but the reliability of the workflow matters more than how it is installed.
Why compare pick-up and return photos zone by zone?
Consistent angles let the agent, the customer, the insurer or a third party tell new damage from pre-existing damage. Without matching zones, two photo galleries remain hard to interpret.
What does a proof reference prove?
It confirms that the inspection photo has stayed identical since it was recorded. On its own, it does not prove who took the photo, nor a certified date issued by a qualified third party.
